JOB DESCRIPTION

REPORTS TO: Administration Manager

POSITION SUMMARY:

Handles all reception related duties, and supports overall administration department.

ESSENTIAL JOB FUNCTIONS:

  • Answers main  telephone system independently, screens calls, gives information to callers, routes calls to appropriate official and places outgoing calls.  Calls are answered before the third ring.
  • Greets visitors, ascertains nature of business and directs visitors to appropriate person.
  • Process daily mail delivery
  • Cash receipts entry (checks received)
  • Verify and mail AP checks processed in weekly check run.
  • Verify and stamp weekly ACH run.
  • Make up sales brochures and items when needed for sales group.
  • Misc.  projects when needed.
  • Send out credit references when requested.
  • Walks to shipping area to gather shipper paperwork multiple times a day.
  • Attach BOLs to orders before scanning to M2M.
  • Verify AP and AR scans in M2M for completeness.
  • Post conference room schedules daily.
  • Help set up conference room for meetings when needed.
  • Refill postage meter when needed.
  • Help with new customer credit reference processing.

JOB QUALIFICATION REQUIREMENTS:

  • Experience: 2-3 years reception/office related experience.  Professional communication skills, both oral and written.
  • Visual Acuity:  Accommodation as required for reading computer screens and documents.
  • Ability to:
  • Speak, read, write, and type fluent English.
  • Work on multiple tasks simultaneously while answering the telephone.
  • Use ten key calculators with speed and accuracy.
  • Prioritize workload.
  • Answer the telephone in a professional manner.
  • Greet visitors in a professional manner.
