POSITION: Executive Assistant

REPORTS TO: CEO

The Executive Assistant is a key member of the team and will be responsible for keeping the CEO and Executive team well prepared, on time, and in-the-know of daily happenings at BC. Responsibilities range from managing special projects, arranging travel, meetings, events, providing administrative support for the CEO as well as this position is also responsible for main phone line coverage and basic financial administrative duties.

What You’ll Need To Be Successful:

  • College degree preferred.
  • Uphold strict confidentiality and professionalism; this is an absolute must.
  • Computer savvy with an aptitude to analyze data and learn new systems quickly.
  • Excellent interpersonal, verbal, and written skills; must be comfortable and proficient communicating with high level executives from outside of the organization.
  • Strong organizational, multi-tasking, and time management abilities
  • High energy and enthusiasm; thrives in a fast-paced environment.
  • Must be a self-starter who is flexible, reliable, and has a strong work ethic.
  • Strong sense of urgency and ability to assess, prioritize, and reprioritize workload independently.
  • Detail oriented with exceptional follow through.
  • Comfortable performing a wide variety of tasks.
  • And most importantly, enjoys coming to work, being part of a team, and getting “stuff” done.

What You Can Expect (The Day to Day):

  • Provide administrative support to the Commercial and Administrative teams, primarily the CEO. This includes but is not limited to scheduling appointments, screening calls, making travel arrangements, expense reports, preparing and reviewing materials and correspondence for meetings; setting-up conference calls, meetings, and events; assisting with the creation/modification of presentations, spreadsheets, and various other areas of administrative support.
  • Serve as a point of contact for customers, board executives from external committees, and company personnel.
  • General administrative duties, including:
    • Main phone line coverage and greeting visitors.
    • Manage promotional inventory and upkeep of “BC store” documents.
    • Perform independent research and prepare information as assigned.
    • Processing daily mail delivery including cash receipt entry, verifying, stamping, and mailing weekly AP check run.
    • Attach BOLs to orders before scanning into ERP.
    • Verifying AR and AP scans in ERP.
    • Posting conference room schedules daily.
    • Refilling postage meter.
    • New customer credit reference processing assistance.
  • Assist and/or manage ad-hoc reports and special projects as assigned.
  • Other duties as assigned.
